Logging Into the Extranet To to the Extranet, open your internet browser and type the address below. You will be directed to the Orbitz Worldwide Extranet where you will type your name and the temporary sent to you via e-mail. We recommend that you copy and paste the temporary directly into the field; our Extranet is case sensitive. If you did not receive your information or if you need assistance logging in, please us at 1-866-925-6700. Once you have typed your information, click SIGN IN. You will be directed to the Orbitz for Hotel Summary Page (below). Orbitz Worldwide Extranet Address: http://extranet.orbitz.com/
Orbitz Worldwide Distribution Center Status Summary: You will land on the Orbitz Worldwide Distribution Center Status Summary page every time you to the Extranet. This page contains all of the tabs and links used to navigate throughout the Extranet.

MAKE MORE CHANGES: Whenever you to the Extranet to make “content” changes (this ONLY applies to changes made within the PROFILE TAB) you must: 1. Click "MAKE MORE CHANGES". 2. Go to the page where you want to make your changes and update the information. 3. Save your changes using Save located at the bottom of the page you are working on prior to leaving the page. When you save your changes you will be taken back to the Orbitz for Hotel Summary page where you your changes so they can be reviewed prior to being displayed on any Orbitz will need to Worldwide distribution channels. Your submitted changes will be reviewed and approved within 24 hours.
Profile Tab Taxes Click on the “Tax” link in the Profile tab to view a list of all the taxes that have been created for the property. To view the “Tax Details”, click Tax Name in the list box and all the information related to that specific tax will be displayed below. If you want to add or edit your tax settings, follow the instructions below (also stated in the drop-down menu on the tax page in the Extranet): 1 Determine whether you want to add taxes or fees. Orbitz distinguishes a “tax” as a non-room charge collected by a property and submitted post-stay to a government taxing authority (e.g., Country, State/Province, County, City, CVB, etc.). Orbitz distinguishes a “fee” as any non-room charge collected by a property and NOT remitted post-stay but retained by the property (e.g., Service Fee, Resort Fee, Cleaning Fee, etc.). 2 Below are the configurations for your property managed by our internal tax team. Please determine the values for each of these attributes. • • • • •

3 E-mail your tax configuration to ‘[email protected]’ to add or edit taxes noting total of all applicable taxes that apply to room rates at your property NOTE: The “Property Level” taxes are those taxes that apply to ALL rooms, “Room Level” taxes are those taxes that are applied to a specific room type. If your property has a Room Level tax, please follow the instructions requesting the addition from our tax team and in addition, you will also need to navigate to the “Room Type Setup” page in the ‘Inventory’ tab and assign this tax to the specific Room Type (instructions included in this guide starting on page 12). If the new tax begins or ends in the future, please keep in mind that the tax will be based on the customer STAY dates, not the booking dates. Therefore, the tax will be collected for any booking made with stay dates starting after 12:00 AM (0:00) on the Effective Day. If you submit an End Date, the system will collect the tax for any bookings that occur up until 11:59 PM (23:59) on that end date. For seasonal or recurring taxes, make sure to note the applicable date range(s). You may utilize up to four unique date ranges that will occur during the same dates each year. The “Month Range” cannot be used concurrently with the Effective and/or End Dates. See examples below.
Fees Click on the “Fees” link in the Profile tab to view a list of all the fees that have been created for the property. To view the “Fee Details”, click Fee Name in the list box and all the information related to that specific fee will be displayed below.

List of Fees If you want to add or edit your fee settings, follow the instructions below (also stated in the dropdown menu on the fee page in the Extranet): 1 Select Room types setup. Determine whether you want to add taxes or fees. Orbitz distinguishes a “tax” as a non-room charge collected by a property and submitted post-stay to a government taxing authority (i.e., Country, State/Province, County, City, CVB, etc.). Amenities: 1. Click on the “Amenities” link located directly underneath the “Profile” tab. • This Amenities function is for external search purposes only and does not reflect a list of all the amenities at your hotel. When a guest is looking for a hotel in your area and selects certain amenities as part of the search criteria, your property will be displayed if the selected amenities are available at your hotel. 2. Checked boxes indicate amenities that are at your property. • “Additional Amenities” refers to any amenities your property has that are not listed here.

Image Management – New! s can now use the VScape digital asset management tool provided by VFML (VFM Leonardo) to images through the Extranet. VScape provides an environment in which s can manage images. It allows s to images, associate images with categories, and control the distribution of images. VScape also takes the image ed by the and without intervention, creates all the image sizes needed for distribution, including thumbnails. It also has de-duplication logic to compare images ed pixel-by-pixel with images already in the system to ensure that duplicate images do not appear. In addition, VScape provides automatic translation of categories. To access the VScape tool: From the Profile tab, select the Image Management link:

VScape FAQ Concepts One key function of using VScape is to understand how the override function works. An override impacts hotel s (with access to both a stand-alone version of VScape and access to the Extranet), and Orbitz s who update images via the Extranet. An override prohibits subsequent changes to an image to flow through to the Orbitz version when the initial change was made via the Extranet. Examples: A hotel changes an image in its standalone version of VScape
The change will flow through to the Orbitz version. All subsequent changes to the image will flow through to the Orbitz version as well. An override occurs and any subsequent changes made to the same image in the hotel’s stand-alone version of VScape will not flow through to the Orbitz version Any subsequent changes made by a hotel in the stand-alone version of VScape will not flow through to the Orbitz version.

A deleted image or an image removed from distribution will flow through to the Orbitz version.
Orbitz s will override an image when a photo ed by the hotel or chain is not associated with the correct category. Overriding it by making a change in VScape in the Extranet ensures that for Orbitz the image will always have the correct category.
Questions 1.
What will happen with the existing photos in the Extranet?
As part of the project to integrate VScape with the Extranet, images will automatically be migrated over to the VFML VScape image galleries for hotels who do not already have a relationship with VFML and use the tool. Hotels that are already VFML clients will see their existing VScape image galleries.
2. Is there a limit to the number of photos a hotel can into the VScape tool and distribute? In general, the limit is 10. However, if a hotel already has a relationship with VFM Leonardo, it will be governed by the limits stipulated in the VFML agreement. This applies whether it is using a stand-alone version of VScape or going through the version integrated in the Extranet. If the hotel does not have a relationship with VFML and are only using the VScape tool integrated in the Extranet, they will be limited to 10 photos. Please note – For these hotels, all of their images currently in the Extranet are grandfathered in and will be transferred to VScape. On a go forward basis, they will be limited to working with 10 images. For example, if 20 images were transferred from the original extranet photos and the hotel would like to Orbitz Worldwide Extranet Training Guide

new images, they must first delete photos to come down below 10 images before they can new ones.
3. Which file types can be ed into VScape? VScape accepts the following file types for : • • • • •
JPEG TIF GIF PNG BMP
VScape will automatically convert files to JPEG that are not in that format.
4. What is the minimum image size that can be ed? The minimum size VScape accepts is 300 x 300 pixels.
5. What is the maximum image size that can be ed? The maximum image file size that can be ed is 100 MB.
6. Do hotel s need to resize images before ing them? No. VScape automatically creates the sizes needed by Orbitz from ed images, but , the minimum sized image that can be ed is 300 x 300 pixels.
7. Do hotel s still have to create custom sized thumbnail images? No. VScape will automatically create thumbnails from images ed.
8. How does the hotel set up a thumbnail to show in the search results? When an image is ed into VScape, the system automatically creates a thumbnail for every image.
9. Which image will be displayed for the thumbnail? The thumbnail for the first exterior photo will be used.
10. What will be used for the thumbnail in search if a hotel has not ed any exterior images? Orbitz Worldwide has created a hierarchy based on the image category, so that if there are no exterior photos, the system will use the first photo from the next category and so on.
11. Can the hotel control the sequence of the images? The hotels cannot change the sequence of how the categories are displayed in the photo viewer because this is Orbitz controlled, but it can control the sequence of photos within categories.
12. How does the hotel rearrange the images? s can drag and drop images to a new sequence within the gallery. This sequencing will impact the order of a photo as it appears within its category in the photo viewer, not within the overall photo sequence. This functionality depends on the subscription level each hotel has with VFML. VScape Lite s and Orbitz-Only hotels will not have this functionality. In these cases, s should delete the photos and them in the desired sequence.

13. Can a hotel delete images from VScape? Hotels can delete their own images that appear in the gallery as part of the migration of photos from the Extranet or that they manually . If they are part of a chain, depending on what the chain has set up for images that the chain s on behalf of the hotel, the property may not be able to delete the chain’s images. In that case, they will need to their chain directly. To delete an image, highlight the image and click Delete. If the Delete button does not appear, the does not have rights to delete it.
14. Why can I delete some images and not others? The ability to delete an image is based on the source of the photo. You can see the source by looking at the preview tab. You will not be able to delete images that were ed by other sources, only those loaded by Orbitz.
15. How should hotels manage their virtual tours? Hotels should continue to use their current processes for managing their virtual tours, since VScape is not used for virtual tours.
16. How long will it take for a photo ed into VFML to show up in Orbitz, eBookers, Cheaptickets, OSA and PWS partners? Photos ed into either Vscape integrated in the Extranet or the hotel’s stand-alone version of Vscape can take between 24 and 48 hours to appear on an Orbitz site. The message “ed images will appear online in 24 to 48 hours” will be displayed.
17. What are the image categories? Categories are how images are classified and are used to generate metadata for the images. The Orbitz custom categories are: • • • • • • • • • • • • • • • • • • • • •

18. If the hotel is working with its own stand-alone version of VScape, how will those categories work with the custom Orbitz categories? Orbitz Worldwide has worked with VFML to create an automated means so that images ed by hotels into their stand-alone versions of VScape will map to the Orbitz custom category list. When s view the images in their stand-alone version, they will see the photos with their own categories. When s view them in VScape in the Extranet, they will see them associated with the correct custom category. This mapping is handled automatically.

This page is a digital brochure for your property (please note that text boxes have character limits). b. The Property section should be a complete overview of your hotel as these are the main promotional points for Orbitz Worldwide customers.

The Room section allows you to give details about the room types you are offering on Orbitz such as square footage, general amenities, and bedding for each room type (Note: Room names should match those in the “Inventory” section). d. NOTE: The Amenities section will be removed shortly; any information added in this section will not be displayed on any of OWW the sites. The Amenities section should include a complete list of ALL of your hotel’s amenities. This should include all of the amenities listed in the ‘Amenities’ section under the profile tab as well as all other amenities at your property. e. The Dining section can include on-site or off-site restaurants and should include such descriptions as cuisine type; hours of operation and location (please include distance from hotel if the restaurant is off-site). f. The Meeting section should include the square footage for your meeting rooms and additional amenities of the meeting space such as audio-visual or any additional services. g. The Location section includes three separate areas: i. Areas served: should include all small and large cities within a 15-mile radius of your hotel. ii. Area airports: should include all small and large airports that serve the hotel iii. Location description: should include a general description of the area around your hotel, including local attractions such as museums, amusement parks, recreation, etc. 2. Click Save located at bottom of screen, once you have completed any changes to your descriptions.

N O Allocation A. Dynamic Rooms: This number represents the total number of dynamic rooms available for booking on Orbitz Worldwide branded websites. To reduce your available rooms, you will subtract the number of rooms you want to remove from the number in the box, leaving the remaining Orbitz Worldwide Extranet Training Guide

rooms (e.g., You have 10 rooms and you want to remove 5, so you will change the number in the top box to 5). To add rooms you do the opposite, adding the number of rooms to the number in the box leaving the new total. B. Static Rooms: This number represents the total number of static rooms available for booking on Orbitz Worldwide branded websites. Rooms within this allocation bucket cannot be adjusted. Static room allocation will be decremented before the dynamic room allocation. C. Rooms Sold: This identifies the total number of rooms sold from the allotted allocation for each calendar day. The total number includes both Dynamic and Static number of rooms. D. Rooms Available: This will identifies the total number of rooms still available to sell for each calendar day. The total number will include both Dynamic and Static number of rooms.
Pricing E. Single, Double, etc.: These are the NET rates for each room. All dates must include single and double rates. For rooms with triple or quad occupancy, you must either fill in the triple and quad rates or enter in an extra person charge, if one applies at your property. Failure to enter this information for triple and quad rates will result in double rates being applied for Triple and Quad rooms. F. NEW! Age based pricing and senior pricing: These are NET rates for each room that are specifically set up for child and senior age ranges. Rows for each age range are dynamic and reflect the settings from the Rate Type Setup page. G. Pkg. discount: This is the percentage discount that will be applied to your package rates. The value displayed will reflect what has been set up on the Rate Type Setup page. You also have the option to build separate rates and inventory for packaging. If you would like to build separate rates and inventory for packaging, please your local Market Manager. H. Daily Package Discount: This field allows you to override the Rate Level Package discount by providing a daily override. Use this field to modify the discount at a daily and/or weekly level. Set this field to 0 to eliminate any package discount from being applied on that date.
Stay Settings I.
Min LOS: This is a stay restriction you can set for up to 25 days (e.g., a 2-night setting requires a booking of at least 2 nights). If the check-in day has a min LOS and the stay days are equal to or greater than the number of min LOS nights, rooms will be available. If stay days are less than the min LOS number, rooms will be unavailable.

Max LOS: This is a stay restriction you can set for up to 25 days (e.g., a 10-night setting requires a booking of no more than 10 nights). If the check-in day has a max LOS and the stay days are equal to or less than the number of max LOS nights, rooms will be available. If stay days are greater than the max LOS number, rooms will be unavailable. The default value displayed in this field for each day will reflect what has been set up at the property level.
K. Adv Purchase: This is your advance reservation setting (e.g., 2 days requires a 2-day advance reservation on ALL bookings). A customer is required to search and book for stays prior to the advance reservation days loaded for any of the stay dates. If multiple days within a stay range have an advance reservation requirement, the consumer’s search must be far enough in advance to cover the longest advance reservation setting.

L. Release Time: This setting releases your inventory once the allotted time setting has been reached. Currently, release time is based on 8:00 P.M. local hotel time. The property will show unavailable if a release time is set. For example: A 1-day release time for today’s date means that the rooms are available for booking up until 4pm yesterday. A 0-day release time is the same as not having any release period. M. CTA: Closed to Arrival: If check-in day has a CTA associated with it, the property is unavailable. If a stay through includes a CTA, rates will be available. N. CTD: Closed to Departure: If check-out day has a CTD associated with it, the property is unavailable. If a stay through includes a CTD, availability is not affected. O. Stop Sell: Check this box to close out your inventory for a particular date. Any and all stay dates that include a stop sell make the room unavailable. Stop sells implemented for any day immediately go into effect for a stay date range that includes that stop sell day. , ): Click on a box to expand or collapse the Stay Setting section to P. Expand/Collapse ( allow you to view the settings for the Static rooms. The same values are available for Static rooms as Dynamic rooms (Min LOS, Max LOS, Advanced Purchase, Release Time, CTA, CTD and Stop Sell). Q. Navigation Tools: All the navigation tools are found in the blue box that is located at the top of the weekly calendar: • Previous Week: navigates to the week prior •
Next Week: navigates to the following week

Select Week: This drop-down list allows you to find to a specific week. Select a week from the drop-down list, then click FIND.
Making Inventory Changes There are three ways to make changes to your rates and inventory: •
Single Week change: Navigate to an individual week using the navigation tools located in the “blue” bar just above the week. Make changes to one day or multiple days within the week and then click SAVE located at the bottom of the page.

Save and repeat for next week: This option allows you to save changes made in one week to the next week. However, it will not function from week to week to week. For example, if you change the available rooms on Wednesday, August 15, and select Save & Repeat, it will save the change and show you that it has changed the available rooms on Wednesday, August 22, to match. However, if you then select the Save and Repeat function again, the available rooms will not change for Wednesday, August 29. You will need to click Save to make the change in the database.

1. Select your date range using the drop-down lists in the blue box directly above the week. 2. Set up the rates, inventory and restrictions on the week selected. Every week selected in the date range drop-down list will look EXACTLY like the week you have selected once you save your changes at the bottom of the screen. 3. Be aware that changes in the multi-week area will override ALL your previous rates, inventory and blackouts. 4. Stop sells will not be overridden when using the multi-week function. To remove stop-sells, you must use the single week view.

Rate Type setup • • •
Click on the link under the INVENTORY tab: button. To add a new rate, click the On the screen below, you will complete all of the details for your new rate 1. Rate Application: will this rate apply to land-only, package or both; land and package requests? 2. Rate Code: Type the specific code for your rate. 3. Rate Description: (e.g., Standard, Package, Opaque, etc.). Type in the name for your rate code. 4. Rate Type: (All-Inclusive, Non-refundable, Special, Standard) o If the rate type is a PACKAGE, you will select the rate type of SPECIAL with the drop down list and then select the package type with the drop down list below the rate type box. 5. Rate Inclusions: Allows you to describe any additional items that are included as part of the customer stay. (Example: “Park es”, “Gratuity”) Please do not enter meal related information in this space, but instead use the provided Meal Type options described in #6. 6. Select Meal Plan Type: Select up to five different Meal Type options to describe what is included in the rate. 7. NEW! Age Based Pricing: This section provides the ability to create up to four age policies, three for children and one for seniors. o Min. number of adults required to apply child pricing: You can use this field to set up a minimum price requirement that would be charged PRIOR to applying child pricing. If you have a minimum requirement of two adults, all your reservations made for that rate/room combination will collect at least a double rate prior to applying child rates, even if only one adult is traveling as part of the reservation. o Number of children allowed to stay free: Allows you to set up a maximum number of children that could be counted free per room. Provides the ability to limit how many children can be free as part of a specific reservation. This field corresponds with the “Free” column next to the age ranges. o Child Age Rages 1 – 3: Indicate each child age range by selecting a minimum and maximum age value from zero to 17 (inclusive). o Senior Range: Static senior range 65+. o Apply Indicator: Provides the ability to activate an age range. By checking this indicator, you will dynamically add this range to the Allocation and Pricing page for this room. o Free Indicator: This option allows you to indicate which age range stays for free. This field works with the number of children allowed to stay for free to make sure that the maximum number of free children are all from an eligible age range. 8. Tax Inclusive: Select ‘Yes’ if the rates provided include the taxes listed in the tax screen. The taxes on the Tax tab will then be used in calculations to display the available rates without the taxes included, instead, showing the customers only the Sell Rate. Selecting “No” will simply calculate taxes based on the net rate provided and add it to the customers total at the end of the booking. Please NOTE: When you set up your rate as Tax Inclusive, you must provide the value to be loaded on the Tax page (see tax update process on Page 3 of this guide) in order for the system to accurately display your rates to the customer.

9. Cancellation Policy: The cancellation policy can be set up in three different ways: All (Stay Dates), Month Range, or Date Range. Multiple tiers can be set up for each cancellation type; each tier can be made up for a specified date range with one of the following types of penalties: o An Amount: Flat amount reflected in supplier currency. o Nightly Rate: Specify the number of nights and the % per night that should be charged. o On Percentage Basis: Specific % value of the total net rate for the stay dates. o Full Payment: Includes all charges for the booked stay dates (excluding Hotel Fees). o Nothing: No cancellation penalty. You will note that there is a place for you to indicate what time, in your local time zone, to which a cancel policy applies (Property Cutoff Time). That is, if your policy is 24 hours in advance of 4 PM, you would select 1600 from the drop-down list. If the Rate Type selected is Non-Refundable, any of the cancellation policies set up will be disregarded and all edits will become disabled.

Cancellation Policy Setup 1. Select the dates the cancellation policy will apply to: a. All (same policy will be applicable for all stay dates) b. Month Range - Select the month and day using the From and To fields.

Promotion Management Tab Creating Promotions for your property helps you to increase bookings by creating discount or value-add promotions specific to your property. Promotions are recognized through Special Banners highlighting your property on Orbitz Worldwide distribution channels. The following pages will explain the step-by-step process to create and submit a promotion for activation. Promotions Set Up •

Once your promotion is submitted, the main promotion page will display. The submitted promotion has now been assigned a “promo ID” link. This page also indicates promo type, value, when the discount applies, LOS, purchase requirements, stay requirements, blackout dates, status and a link for “show more details”. While the Market Manager approves the promotion, the manager can also review all of the entries and make any necessary adjustments before approving. MAKE MORE CHANGES: Whenever you to the Extranet to make “content” changes (this ONLY applies to changes made within the PROFILE TAB) you must: 1. Click "MAKE MORE CHANGES". 2. Go to the page where you want to make your changes and update the information. 3. Save your changes using Save located at the bottom of the page you are working on prior to leaving the page. If you want to add or edit your tax settings, follow the instructions below (also stated in the drop-down menu on the tax page in the Extranet): 1 Determine whether you want to add taxes or fees. VScape FAQ Concepts One key function of using VScape is to understand how the override function works. An override impacts hotel s (with access to both a stand-alone version of VScape and access to the Extranet), and Orbitz s who update images via the Extranet. An override prohibits subsequent changes to an image to flow through to the Orbitz version when the initial change was made via the Extranet. Examples: A hotel changes an image in its standalone version of VScape
The change will flow through to the Orbitz version. All subsequent changes to the image will flow through to the Orbitz version as well. An override occurs and any subsequent changes made to the same image in the hotel’s stand-alone version of VScape will not flow through to the Orbitz version Any subsequent changes made by a hotel in the stand-alone version of VScape will not flow through to the Orbitz version.

A deleted image or an image removed from distribution will flow through to the Orbitz version.
Orbitz s will override an image when a photo ed by the hotel or chain is not associated with the correct category. Overriding it by making a change in VScape in the Extranet ensures that for Orbitz the image will always have the correct category.
Questions 1.
What will happen with the existing photos in the Extranet?
As part of the project to integrate VScape with the Extranet, images will automatically be migrated over to the VFML VScape image galleries for hotels who do not already have a relationship with VFML and use the tool. Hotels that are already VFML clients will see their existing VScape image galleries.
2. Is there a limit to the number of photos a hotel can into the VScape tool and distribute? In general, the limit is 10. However, if a hotel already has a relationship with VFM Leonardo, it will be governed by the limits stipulated in the VFML agreement. This applies whether it is using a stand-alone version of VScape or going through the version integrated in the Extranet. If the hotel does not have a relationship with VFML and are only using the VScape tool integrated in the Extranet, they will be limited to 10 photos. Please note – For these hotels, all of their images currently in the Extranet are grandfathered in and will be transferred to VScape. On a go forward basis, they will be limited to working with 10 images. For example, if 20 images were transferred from the original extranet photos and the hotel would like to Orbitz Worldwide Extranet Training Guide

new images, they must first delete photos to come down below 10 images before they can new ones.
3. Which file types can be ed into VScape? VScape accepts the following file types for : • • • • •

VScape will automatically convert files to JPEG that are not in that format.
4. What is the minimum image size that can be ed? The minimum size VScape accepts is 300 x 300 pixels.
5. What is the maximum image size that can be ed? The maximum image file size that can be ed is 100 MB.
6. Do hotel s need to resize images before ing them? No. VScape automatically creates the sizes needed by Orbitz from ed images, but , the minimum sized image that can be ed is 300 x 300 pixels.
7. Do hotel s still have to create custom sized thumbnail images? No. VScape will automatically create thumbnails from images ed.
8. How does the hotel set up a thumbnail to show in the search results? When an image is ed into VScape, the system automatically creates a thumbnail for every image.
9. Which image will be displayed for the thumbnail? The thumbnail for the first exterior photo will be used.
10. What will be used for the thumbnail in search if a hotel has not ed any exterior images? Orbitz Worldwide has created a hierarchy based on the image category, so that if there are no exterior photos, the system will use the first photo from the next category and so on.
11. Can the hotel control the sequence of the images? The hotels cannot change the sequence of how the categories are displayed in the photo viewer because this is Orbitz controlled, but it can control the sequence of photos within categories.
12. How does the hotel rearrange the images? s can drag and drop images to a new sequence within the gallery. This sequencing will impact the order of a photo as it appears within its category in the photo viewer, not within the overall photo sequence. This functionality depends on the subscription level each hotel has with VFML. VScape Lite s and Orbitz-Only hotels will not have this functionality. In these cases, s should delete the photos and them in the desired sequence.

13. Can a hotel delete images from VScape? Hotels can delete their own images that appear in the gallery as part of the migration of photos from the Extranet or that they manually . If they are part of a chain, depending on what the chain has set up for images that the chain s on behalf of the hotel, the property may not be able to delete the chain’s images. In that case, they will need to their chain directly. To delete an image, highlight the image and click Delete. If the Delete button does not appear, the does not have rights to delete it.
14. Why can I delete some images and not others? The ability to delete an image is based on the source of the photo. You can see the source by looking at the preview tab. You will not be able to delete images that were ed by other sources, only those loaded by Orbitz.
15. How should hotels manage their virtual tours? Hotels should continue to use their current processes for managing their virtual tours, since VScape is not used for virtual tours.
16. How long will it take for a photo ed into VFML to show up in Orbitz, eBookers, Cheaptickets, OSA and PWS partners? Photos ed into either Vscape integrated in the Extranet or the hotel’s stand-alone version of Vscape can take between 24 and 48 hours to appear on an Orbitz site. The message “ed images will appear online in 24 to 48 hours” will be displayed.
17. What are the image categories? Categories are how images are classified and are used to generate metadata for the images. The Orbitz custom categories are: • • • • • • • • • • • • • • • • • • • • •

Orbitz Worldwide has worked with VFML to create an automated means so that images ed by hotels into their stand-alone versions of VScape will map to the Orbitz custom category list. When s view the images in their stand-alone version, they will see the photos with their own categories. When s view them in VScape in the Extranet, they will see them associated with the correct custom category. This mapping is handled automatically.

N O Allocation A. Dynamic Rooms: This number represents the total number of dynamic rooms available for booking on Orbitz Worldwide branded websites. rooms (e.g., You have 10 rooms and you want to remove 5, so you will change the number in the top box to 5). To add rooms you do the opposite, adding the number of rooms to the number in the box leaving the new total. B. Static Rooms: This number represents the total number of static rooms available for booking on Orbitz Worldwide branded websites. Rooms within this allocation bucket cannot be adjusted. Static room allocation will be decremented before the dynamic room allocation. C. Rooms Sold: This identifies the total number of rooms sold from the allotted allocation for each calendar day. The total number includes both Dynamic and Static number of rooms. D. Rooms Available: This will identifies the total number of rooms still available to sell for each calendar day. The total number will include both Dynamic and Static number of rooms.
Pricing E. Single, Double, etc.: These are the NET rates for each room. All dates must include single and double rates. For rooms with triple or quad occupancy, you must either fill in the triple and quad rates or enter in an extra person charge, if one applies at your property. Failure to enter this information for triple and quad rates will result in double rates being applied for Triple and Quad rooms. F. NEW! Age based pricing and senior pricing: These are NET rates for each room that are specifically set up for child and senior age ranges. Rows for each age range are dynamic and reflect the settings from the Rate Type Setup page. G. Pkg. discount: This is the percentage discount that will be applied to your package rates. The value displayed will reflect what has been set up on the Rate Type Setup page. You also have the option to build separate rates and inventory for packaging. If you would like to build separate rates and inventory for packaging, please your local Market Manager. H. Daily Package Discount: This field allows you to override the Rate Level Package discount by providing a daily override. Use this field to modify the discount at a daily and/or weekly level. Set this field to 0 to eliminate any package discount from being applied on that date.
Stay Settings I.
Min LOS: This is a stay restriction you can set for up to 25 days (e.g., a 2-night setting requires a booking of at least 2 nights). If the check-in day has a min LOS and the stay days are equal to or greater than the number of min LOS nights, rooms will be available. If stay days are less than the min LOS number, rooms will be unavailable.

Max LOS: This is a stay restriction you can set for up to 25 days (e.g., a 10-night setting requires a booking of no more than 10 nights). If the check-in day has a max LOS and the stay days are equal to or less than the number of max LOS nights, rooms will be available. If stay days are greater than the max LOS number, rooms will be unavailable. The default value displayed in this field for each day will reflect what has been set up at the property level.
K. Adv Purchase: This is your advance reservation setting (e.g., 2 days requires a 2-day advance reservation on ALL bookings). A customer is required to search and book for stays prior to the advance reservation days loaded for any of the stay dates. If multiple days within a stay range have an advance reservation requirement, the consumer’s search must be far enough in advance to cover the longest advance reservation setting.

L. Release Time: This setting releases your inventory once the allotted time setting has been reached. Currently, release time is based on 8:00 P.M. local hotel time. The property will show unavailable if a release time is set. For example: A 1-day release time for today’s date means that the rooms are available for booking up until 4pm yesterday. A 0-day release time is the same as not having any release period. M. CTA: Closed to Arrival: If check-in day has a CTA associated with it, the property is unavailable. If a stay through includes a CTA, rates will be available. N. CTD: Closed to Departure: If check-out day has a CTD associated with it, the property is unavailable. If a stay through includes a CTD, availability is not affected. O. Stop Sell: Check this box to close out your inventory for a particular date. Any and all stay dates that include a stop sell make the room unavailable. Stop sells implemented for any day immediately go into effect for a stay date range that includes that stop sell day. , ): Click on a box to expand or collapse the Stay Setting section to P. Expand/Collapse ( allow you to view the settings for the Static rooms. Making Inventory Changes There are three ways to make changes to your rates and inventory: •
Single Week change: Navigate to an individual week using the navigation tools located in the “blue” bar just above the week. Make changes to one day or multiple days within the week and then click SAVE located at the bottom of the page.

Save and repeat for next week: This option allows you to save changes made in one week to the next week. However, it will not function from week to week to week. For example, if you change the available rooms on Wednesday, August 15, and select Save & Repeat, it will save the change and show you that it has changed the available rooms on Wednesday, August 22, to match. However, if you then select the Save and Repeat function again, the available rooms will not change for Wednesday, August 29. You will need to click Save to make the change in the database.

Click on the link under the INVENTORY tab: button. To add a new rate, click the On the screen below, you will complete all of the details for your new rate 1. Rate Application: will this rate apply to land-only, package or both; land and package requests? 2. Rate Code: Type the specific code for your rate. 3. Rate Description: (e.g., Standard, Package, Opaque, etc.). Type in the name for your rate code. 4. Rate Type: (All-Inclusive, Non-refundable, Special, Standard) o If the rate type is a PACKAGE, you will select the rate type of SPECIAL with the drop down list and then select the package type with the drop down list below the rate type box. 5. Rate Inclusions: Allows you to describe any additional items that are included as part of the customer stay. (Example: “Park es”, “Gratuity”) Please do not enter meal related information in this space, but instead use the provided Meal Type options described in #6. 6. Select Meal Plan Type: Select up to five different Meal Type options to describe what is included in the rate. 7. NEW! Age Based Pricing: This section provides the ability to create up to four age policies, three for children and one for seniors. o Min. number of adults required to apply child pricing: You can use this field to set up a minimum price requirement that would be charged PRIOR to applying child pricing. If you have a minimum requirement of two adults, all your reservations made for that rate/room combination will collect at least a double rate prior to applying child rates, even if only one adult is traveling as part of the reservation. o Number of children allowed to stay free: Allows you to set up a maximum number of children that could be counted free per room. Provides the ability to limit how many children can be free as part of a specific reservation. This field corresponds with the “Free” column next to the age ranges. o Child Age Rages 1 – 3: Indicate each child age range by selecting a minimum and maximum age value from zero to 17 (inclusive). o Senior Range: Static senior range 65+. o Apply Indicator: Provides the ability to activate an age range. By checking this indicator, you will dynamically add this range to the Allocation and Pricing page for this room. o Free Indicator: This option allows you to indicate which age range stays for free. This field works with the number of children allowed to stay for free to make sure that the maximum number of free children are all from an eligible age range. 8. Tax Inclusive: Select ‘Yes’ if the rates provided include the taxes listed in the tax screen. The taxes on the Tax tab will then be used in calculations to display the available rates without the taxes included, instead, showing the customers only the Sell Rate. Selecting “No” will simply calculate taxes based on the net rate provided and add it to the customers total at the end of the booking. Please NOTE: When you set up your rate as Tax Inclusive, you must provide the value to be loaded on the Tax page (see tax update process on Page 3 of this guide) in order for the system to accurately display your rates to the customer.

9. Cancellation Policy: The cancellation policy can be set up in three different ways: All (Stay Dates), Month Range, or Date Range. Multiple tiers can be set up for each cancellation type; each tier can be made up for a specified date range with one of the following types of penalties: o An Amount: Flat amount reflected in supplier currency. o Nightly Rate: Specify the number of nights and the % per night that should be charged. o On Percentage Basis: Specific % value of the total net rate for the stay dates. o Full Payment: Includes all charges for the booked stay dates (excluding Hotel Fees). o Nothing: No cancellation penalty. You will note that there is a place for you to indicate what time, in your local time zone, to which a cancel policy applies (Property Cutoff Time). That is, if your policy is 24 hours in advance of 4 PM, you would select 1600 from the drop-down list. If the Rate Type selected is Non-Refundable, any of the cancellation policies set up will be disregarded and all edits will become disabled.

Cancellation Policy Setup 1. Select the dates the cancellation policy will apply to: a. All (same policy will be applicable for all stay dates) b. Month Range - Select the month and day using the From and To fields.

1. Click the “Confirmations” tab at the top of the page to access the confirmations page. 2. Use the ‘Orbitz reservation number’ box or the date range boxes to locate reservations via the Orbitz extranet. 3. The results are sorted based on the following: • • • •
If search is by confirmation number, results will return exact match if it’s a valid record locator. If search is by reservation status, storefront/channel and check-in date, results are grouped by channel in alpha order then by check-in date. If search is by reservation status, storefront/channel and by booked date, results are grouped by channel in alpha order then by “booked by” date. If search is by reservation status, storefront/channel, check-in and date booked, results are grouped by channel in alpha order, then by check-in date, then by date booked.
Other reservation display information: If a reservation is booked in a currency other than that in which the rates were entered, the reservation detail screen will show both the booked net rate currency (based on the exchange rate at the time of booking) and the net rate currency that was entered on the inventory screens.

Promotion Management Tab Creating Promotions for your property helps you to increase bookings by creating discount or value-add promotions specific to your property. Promotions are recognized through Special Banners highlighting your property on Orbitz Worldwide distribution channels. The following pages will explain the step-by-step process to create and submit a promotion for activation. Promotions Set Up •

On the PROMOTION MANAGEMENT tab, select the type of promotion from the promotion drop-down list: o Fixed Currency Amount – specify a specific amount for non-USD currencies o % Off – specify the dollar amount off for a promotion o Free Night – indicate the number of free nights included in the promotion o Value add – indicates specific details of the promotion, e.g., must stay at least two nights Click CREATE NEW.
Marketing Text You will begin by entering in the Marketing Text (Required). This text highlights the promotion on the display pages on Orbitz.com. The Marketing text will display on the initial search results, in the booking path when the guest books a promotional rate for your hotel and on the confirmation sent to the hotel and the guest. These options will be displayed for the Fixed Currency Amount, % Off, and Free Nights:

These options will be displayed for the Value Add, including the additional fields for free-form text.
Promotion Details •
The Promotion Details options displayed will be dependent upon the type of promotion selected.

Next select purchase dates. Options: o Purchase date range o Purchase any day o Advance Purchase or Last Minute You can choose to make “Guest must purchase at least x number of days before check-in” or “Guest must purchase within x number of days before check-in” # of days can be either one of the drop-down options or any number of days between 1 and 365.

Next select stay requirements. o Define Length of Stay (default is 1 day) o Day of Arrival – choose one or multiple days that customer must arrive on in order for promotion to apply Exception checkbox for day of arrival – can select to have promotion apply if the customer’s check-in date meets the arrival day, but the check-out date is outside of the stay date range. Exception must be used with at least one day of arrival. o Define stay date range or all stay dates for promotion to apply.

Lastly, you will enter in your room and rate types that apply to this specific promotion. The promotion can apply to all room/rate types, or specific room/rate types. If the rate is set up to apply to both Land and Package rate contexts, you will have the option to select to which context (or both) the promotion will be applied.

Note: the particular storefront/channel to which a promotion is offered is displayed on the screen. You are now ready to review and submit your promotion. Click “I agree” in Agreement area and then click SUBMIT. Pressing Save will save the promotion as “Incomplete” if you want to come back to it later.

Once your promotion is submitted, the main promotion page will display. The submitted promotion has now been assigned a “promo ID” link. This page also indicates promo type, value, when the discount applies, LOS, purchase requirements, stay requirements, blackout dates, status and a link for “show more details”. Your hotel’s Market Manager will now the promotion is set up and calculating correctly, and then activate the promotion. While the Market Manager approves the promotion, the manager can also review all of the entries and make any necessary adjustments before approving. You can determine the status of a promotion on the using the page shown below. Promotion status is indicated as either submitted, denied, active, inactive or incomplete. Once your promotion has been approved, it will display on Orbitz.com and its d brands.
Edit any promotion that is in Active, Future or Expired status. Click Edit this Promotion to update any of the entries and resubmit the promotion.

For a Value Add promotion, edit the Marketing Text (Required). Edit the and conditions, customer fulfillment requirements, and supplier requirements. All of these fields are required. and conditions should contain all of the specifics of your promotion, such as stay requirements, room types, additional services or amenities provided and any restrictions. Customer fulfillment should contain instructions on what each guest needs to do to receive the promotion (e.g., pick up breakfast voucher at time of check in). If the guest does not have any requirements, then describe how the value-add will be received (e.g., guest will be upgraded at time of check in). Supplier fulfillment requirements should contain specific instructions to your Front Desk on what needs to happen to execute the value add (e.g., upgrade guest to a onebedroom suite at time of check in).
