How to get started with inspira 1. as an external applicant Important note: ƒ
UN Secretariat staff with a regular appointment including field staff should not : to find out your internal access codes, please refer to chapter 1.2.1 of the Instructional Manual for the Applicant.

UN Volunteers, temporary staff , associate experts, consultants, individual contractors, military/police personnel and interns are invited to as external applicants using the steps below.
ƒ
If you have already ed but do not your ID or your , click on the “?” link located on the page and follow the instructions on the screen. Make sure your spam filter allows emails sent from the un.org domain. If the email address provided during registration is incorrect, you will need to again.
ƒ
For Galaxy s, please note that you cannot use your Galaxy access codes to to Inspira.
1.1.
On the Careers Portal homepage (http://careers.un.org), click on “”.
1.2.
Click on “ now”.
1.3.
Fill out the registration form: make sure your date of birth is correct and refer to a private email address that is still valid.
1.4.
Click on “”.
2. Update your profile To update your profile, please follow the steps below: 2.1.
to inspira (https://inspira.un.org) and then click on the “Careers” link.
2.2.
On the “Careers Home” page, click on the “My Profile” link in the “My Career Tools” group box.
2.3.
Fill out all required fields (marked with an *) on the 1st page of your profile.
2.4.
Click on “Go To Next Page”.
2.5.
Fill out all required fields (marked with an *) on the 2nd page of your profile.
2.6.
Click on “OK” (the system should then take you back to the 1st page of your profile).
2.7.
Click on “Save”.
Note: all required fields must be populated on the 2 pages of your profile before you can save it. Make sure you carefully review any warning message that would appear on your screen after you clicked on “Save”.
3. Create your first application To create your first application, please follow the steps below: 3.1.
to inspira (https://inspira.un.org) and then click on the “Careers” link.
3.2.
On the “Careers Home” page, click on “Create Draft Application” (just below the “My Profile” link).

You get to a page called “Complete Application” Æ As indicated in the application header, this application is not linked to any job opening yet (and therefore cannot be submitted). 1
Direct links to the different sections of the application are provided for easy navigation: ƒ ƒ ƒ ƒ ƒ 3.4.

Click on the different sections to enter all the relevant information. In each section, make sure all required fields (marked with an *) have been populated, then click on “Save”. If you see a text at the top of the page warning you that required information is missing, look through all the required fields again and make sure you have entered them correctly. It is recommended that you click on “Save” regularly, including after completing all the mandatory fields within a section. Indeed, the system times out every 60 minutes, which means you could lose any data you entered since the last time you clicked “Save”.
3.5.
In order to save all your entries, click the “Save” button in the “Complete Application” page: make sure the text “You have successfully saved your job application” appears at the top of the page.
3.6.
Click on the “Close Application” button to return to the “My Career Tools” page: your new application is now listed under the “My Applications” group box. From this page you have access to: ƒ
The “Creation Date” which indicates the date the application was created Æ Any new application will be based on the content of the last application you created;
ƒ
The “Application Date” which indicates the date you submitted your application;
ƒ
The “View/Print PHP” button to access the PDF version of your application;
ƒ
The status of each application (e.g. Draft, Applied, Under Consideration, etc.) Æ Only Draft application can be updated.
4. Apply for a job When you apply for a job, you submit an application linked to a particular Job Opening (or JO). To do so, you can either create a new application or use one of your existing draft applications: To link a new application to a given JO, click on the “Apply Now” button in the relevant job posting Æ the resulting new draft application inherits its content from the last application you created (as per “Creation Date”). To link an existing draft application to a given JO, follow the steps below: 4.1.

At the top of the “Careers Home” page, click on the “My Careers Tools” link.
4.3.
On the “My Career Tools” page, under the “My Applications” group box, click on the draft application you want to use. You may need to click on the “Next” link under the “My Applications” group box to access your older applications (indeed the “My Applications” group box displays only 5 applications at a time).
4.4.
Click on the link “Add Job to Application”.
4.5.
Click on the link “Advanced Search”, enter your search criteria and then click on the “Search” button.
4.6.
Click on the relevant search result, read the description to make sure it is the right JO and then click on “Apply Now”. 2

Your draft application is now linked to that particular JO but it is neither complete nor submitted yet.
In both cases (whether you create a new application or use an existing draft application), ƒ
Check/update one by one the sections of your application, and particularly the “Skills” section and the “Cover Letter & Additional Info” section;
ƒ
Click on “Save” regularly, including after completing all the mandatory fields within a section. Indeed, the system times out every 60 minutes, which means you could lose any data you entered since the last time you clicked on “Save”. The text “You have successfully saved your job application” should appear at the top of the form after you click on the “Save” button on “Complete Application” page. If it does not, review the warning message since it may point at missing information in your application or in your profile.
ƒ
Click on the “Submit” button only when your application does not need any additional update and after saving your latest changes. Once your application has been submitted, you cannot update it anymore.
ƒ
Make sure you submit your application well in advance before the job opening deadline date.
Immediately after submitting your application, its status on your “My Careers Tools” page should be “Applied”. Important note: ƒ
You can submit only one application per job opening (and you cannot update it after submission);
ƒ
Withdrawing your application will not allow you to submit a new application for the same job opening; therefore do not withdraw an application unless you are no longer interested in this job opening.

5. Activate Job alerts [optional] 5.1.
to inspira (https://inspira.un.org) and then click on the “Careers” link.
5.2.
On the “Careers Home” page, click on “Job Search”.
5.3.
Select your search criteria.
5.4.
Click on the “Save Search” button.
5.5.
Name your search.
5.6.
Tick the checkbox [x] Use as Job Alert
5.7.
Type an email address in “Send Job Alerts notification to” field (it may be any email address you like).
5.8.
Click on the “Save Search” button.
Notes: ƒ Saved searches stay valid for 365 days only; ƒ Maximum number of active saved searches is 5; ƒ Job alerts configured in Inspira do not include job openings posted in Galaxy (http://jobs.un.org).

6.1.
I have just submitted my application but I have not received any email confirmation: how do I know if my application has been received?
All you need to do is check the status of your application on your “My Career Tools” page. Indeed all your applications along with the ID numbers of the job openings you applied to are listed under the “My Applications” group box on your “My Career Tools” page. If the status of your application is “Applied” or “Under Consideration”, then your application has been received. You may also want to check that the email address listed in your profile is correct and that your spam filter is configured to allow emails sent from the un.org domain. 6.2.
Nothing happens when I click on the “View/Print PHP” link, what can I do?
To use this feature, make sure you can tick all the items in the below check list: [ ] A PDF reader is installed [ ] Internet browser configured so that pop-up blocker is turned off when browsing the un.org domain [ ] For s of Internet Explorer, go to “Tools” > “Internet Options”. In the “Security” tab, click on “Custom Level”. Scroll down and select <Enable> for the option “s” > “Automatic prompting for file s”. Click on “OK” to confirm. 6.3.
The system logs me out immediately after I authenticate, am I doing something wrong?
You need to configure your Internet browser so that the un.org domain is always allowed to use cookies. For Internet Explorer s, ƒ go to “Tools” > “Internet Options” ƒ In the “Privacy” tab, click on “Sites” ƒ In the “Address of website” field, enter un.org and then click on “Allow” ƒ Click on “OK” to confirm Note: the session times out automatically once per hour so make sure you click on “Save” regularly. It is also recommended to prepare offline in a separate document not only your cover letter but also the list of duties and list of achievements for each employment record so that you can populate the relevant sections of your online application more effectively through copy-and-paste. 6.4.
One of my applications is not listed under “My Career Tools”, where can I find it?
First, click on the “Next” link under the “My Applications” group box to access your older applications. Indeed the “My Applications” group box displays only 5 applications at a time. If after browsing all your applications you are still unable to find the one you are looking for, click on “Create Draft Application” (as per section 3) and then click on “Save”. Creating a new draft application will indeed refresh the list displayed on the “My Career Tools” page allowing you to find the application you are looking for. If you still cannot find it, please the Inspira Centre (as per section 7 below) with a screenshot of the “My Career Tools” page + (if applicable) the confirmation email you received after applying. 6.5.
I am unable to attach any file on the last page of my application, can you help?
To be able to files, make sure you can tick all the items in the below check list: [ ] File size is less than 1 Mb (if your file is larger, please scan it in a lower resolution) [ ] File name is short and without any special character (for instance, Your-Initials_Bachelordegree.pdf) 4

Can I withdraw an application in Inspira?
Yes, you can withdraw an application but please note that it does not allow you to submit a new application for the same job opening. 6.7.
Can I update an application already submitted?
No, as indicated in the and Agreements, when one clicks on “Submit”, no changes can be made after the application has been submitted.

Upon submission, your request will automatically be assigned a case number for easy reference & tracking (your popup blocker should be turned off). To better assist you, make sure your request always includes: a) Your full name and ID (do not disclose your ); b) The ID number of the job opening you are trying to apply to (please do not attach your CV); c) In the event that you are reporting a technical problem, the steps leading to this problem + one or more screenshots of the error/warning message and of the page on which it appeared.
